AI for Meeting Planners

in: Technology

Artificial Intelligence (AI) seems to be popping up everywhere and in every industry, and event planning is no exception. Here are some ways that planners can use AI to streamline their processes and enhance their events and provide attendees with an ideal experience.

Personalized Recommendations

Meeting planners can use AI to analyze attendee data to provide personalized recommendations for sessions and events. By collecting data on attendees’ interests, goals and preferences, AI can make recommendations on which sessions or events they may be most interested in attending. This is especially helpful for large events, where attendees may need to navigate multiple sessions.

Chatbots powered by AI can help answer attendees’ questions before and during the event. They can provide information on the conference schedule, wifi passwords, and session locations. Basically, they can answer all the FAQs. Your event staff will be thankful to forego answering the same questions over and over again. Perhaps the Chatbot could also answer the question about turning up or down the heat or a/c by saying, “I’ll get right on that”.

Voice Recognition Technology

Voice recognition technology may also be used one day. Similar to chatbots and our at-home Alexa-like devices, attendees can speak their questions about directions to different sessions, schedules of sessions, or recommendations for nearby restaurants or attractions and a bot will answer back.

Facial Recognition

Facial recognition technology can be used for security purposes at events, ensuring that only authorized attendees are allowed in. It can also be used to measure demographics, impressions, sentiment and other behavioral insights.

Social Media Analysis

AI can analyze social media data in real time to provide insights into attendee sentiment and preferences. Learn what attendees are saying about the event and adjust if possible. For example, attendees may express dissatisfaction with a particular session, meeting planners can use this feedback to make changes and improve the overall experience.

Predictive Analytics

AI can also be used for predictive analytics, which allows meeting planners to anticipate attendee needs and preferences. By analyzing data and attendee behaviors from past events, AI can predict which sessions or events will be the most popular, which vendors will capture the most attention and more.

AI may help streamline many of the processes involved in organizing events. As AI continues to develop, meeting planners will have even more tools at their disposal to create unforgettable and impactful conferencdes. That said, AI cannot replace you, meeting planners. Especially in my world, for I only have “A-Eyes” for you!
